About NOVA Group and Our Entities

NOVA Group Holdings Limited (“NOVA Group”) is the holding company of the following operating entities:

  • NOVA Business Services Limited (TCSP Licence No.: TC009410), providing company registration, company secretarial, registered office, and virtual office services.
  • NOVA Accounting & Advisory Limited (TCSP Licence No.: TC009415), providing accounting, bookkeeping, and tax advisory services.
  • NOVA CPA Limited (AFRC Registration No.: M0686), a registered corporate practice providing certified public accountant and audit services.
  • NOVA InnoTech Limited, providing digital transformation and technology services, including cloud POS and loyalty program solutions.

References to “NOVA,” “NOVA Group,” “we,” “us,” “our,” or the “Company” in this Privacy Policy refer to NOVA Group Holdings Limited and/or the specific operating entity above that collects, holds, or processes your personal data in connection with the service it provides to you.

Privacy Policy Statement

NOVA Group Holdings Limited, together with its operating entities NOVA Business Services Limited, NOVA Accounting & Advisory Limited, NOVA CPA Limited, and NOVA InnoTech Limited (each and collectively referred to hereinafter as the “Company”), recognizes its responsibilities in relation to the collection, holding, processing, use, and/or transfer of personal data under the Personal Data (Privacy) Ordinance (Cap. 486) (the “Ordinance”).

Purpose

The personal information of customers collected or held by the Company may be used, stored, processed, transferred, disclosed, or shared for the following obligatory purposes necessary in providing services to customers:

  • Processing for the services agreement and providing ongoing business services;
  • Managing and analyzing any action and/or proceedings brought against the customers, and exercising the Company’s rights as more particularly defined in the applicable agreement wording, including but not limited to subrogation rights;
  • Conducting research, survey, and analysis for the purpose of quality control and enhancement; meeting disclosure requirements of any local or foreign law, regulations, codes, or guidelines binding on the Company, its parent, and affiliated companies;
  • Complying with the legitimate requests or orders of the courts of the Hong Kong Special Administrative Region and regulators, including but not limited to auditors, governmental bodies, and governmental-related establishments;
  • Transferring data to related financial institutions for general service subscription and/or direct marketing of related services and products.

Direct marketing

Certain personal information of customers collected or held by the Company, in particular names and contact information such as telephone number, email address, and postal address, may be used by the Company and/or our affiliated companies to provide marketing materials and conduct direct marketing activities (including but not limited to promoting, marketing, or selling of the Company’s or co-branded services by electronic or other means) in relation to services of the Company and/or other service providers. If you do not wish to receive direct marketing information or materials, please notify the Company’s Personal Data Privacy Officer at 22/F, 3 Lockhart Road, Wanchai, Hong Kong.

Collection of Data

(a) We may collect the data of customers and other individuals in connection with the purposes set out in this Notice. These customers and other individuals may include the following or any of them (collectively “you,” “your”):

  • applicants for corporate, accounting, audit, and other consultation services;
  • persons linked to a customer or an applicant that is not an individual, including the beneficial owners and officers of that customer or applicant, or in the case of a trust, including the trustees, settlors, protectors, and beneficiaries of the trust; and other persons who are relevant to a customer’s relationship with us.

(b) If the data requested by us is not provided, we may be unable to provide (or continue to provide) products or services to you or to the relevant customer or applicant linked to you.

(c) Data may be:

  • collected from you directly, from someone acting on your behalf, or from another source; and
  • combined with other data available to members of NOVA Group (“NOVA Group” and any “member of NOVA Group” refer to NOVA Group Holdings Limited and/or its operating entities, affiliates, subsidiaries, associated entities, and any of their branches and offices).

Retention of Personal Data

We will retain a customer’s personal data only for so long as is necessary for fulfilling the purpose for which it was collected. After that time, your data will be erased.

Transfer of Personal Data

All personal information held by the Company will be kept confidential but may be shared with the following parties, within or outside Hong Kong, for obligatory purposes:

  • Any related company, or any other company carrying on related business, or an intermediary;
  • Any broker, contractor, banker, or third-party service provider who provides administrative, telecommunications, computer, payment, banking, or other services to the Company in connection with the operation of its business;
  • Third-party service providers, including legal advisors, investigators, surveyors, specialists, repairers, accountants, and data processors;
  • Any person to whom the Company is under an obligation to make disclosure under the requirements of any law binding on the Company or any of its associated companies, for the purposes of any regulations, codes, or guidelines issued by governmental, regulatory, or other authorities with which the Company or any of its associated companies are expected to comply;
  • Any person pursuant to any order of a court of competent jurisdiction.

Access and Correction of Personal Data

According to the Ordinance, all customers have the right to access, correct, and/or change any of their own personal data held by the Company by contacting the Company’s Personal Data Privacy Officer at 22/F, 3 Lockhart Road, Wanchai, Hong Kong.

Protection of Personal Data

Security is our top priority. NOVA will strive at all times to ensure that your personal data is protected against unauthorised or accidental access, processing, or erasure. We maintain this commitment to data security by implementing appropriate physical, electronic, and managerial measures to safeguard and secure customers’ personal data.

The secure area of our website supports the use of 256-bit Secure Socket Layer (SSL) encryption technology, an industry standard for encryption over the Internet to protect data. When you provide sensitive information such as credit card details, it will be automatically converted into codes before being securely dispatched over the Internet.

Our web servers are protected behind firewalls, and our systems are monitored to prevent any unauthorised access. We will not send personal information to you by ordinary email. As the security of ordinary email cannot be guaranteed, you should only send email to us using the secure email facility on our website.

All practical steps will be taken to ensure that personal data is not kept longer than necessary, and that we comply with all statutory and regulatory requirements in the Hong Kong Special Administrative Region concerning the retention of personally identifiable information.

We take all steps we consider reasonable to ensure data is used only to fulfil our obligations under the applicable business agreement, for work assessment and fraud prevention, or to make available information about new or beneficial products and services offered by us and other organizations which we consider may be of interest to you. Please be aware that some countries may not have laws in force to protect your personal data.

NOVA Business Services Limited and NOVA Accounting & Advisory Limited are private corporate service providers operating under Trust or Company Service Provider Licences TC009410 and TC009415 respectively. NOVA CPA Limited is a registered corporate practice (AFRC Registration No. M0686) providing certified public accountant and audit services. None of the NOVA Group entities is a government agency, and none is affiliated with the HKSAR Companies Registry, the Inland Revenue Department, the Accounting and Financial Reporting Council, or any other government or regulatory body. Any official government fees, stamp duties, or statutory filing fees are separate from, and in addition to, our service fees.
